Moving a school to the next session: a year-end rollover checklist

Every March and April the school office rebuilds the school for a new session: classes move up, new children arrive, fees change and buses are reassigned. Doing it by retyping invites mistakes. This checklist keeps the move orderly.

Four weeks before: get the facts straight

  • Close the old session's dues. Know who owes what, so you can decide what to carry forward.
  • List who is leaving. Transfer certificates issued, and children not returning.
  • Agree the new fee structure. Amounts by class and by month for the new session.
  • Agree the new bus fares. Zones and monthly fares.

Plan the class ladder

Decide which class each current class moves to, which children repeat a class and which sections change. A written ladder, such as 5-A to 6-A, avoids a day of arguments later.

Confirm the plan with the principal before anything in the system changes.

Copy forward, do not retype

  1. Fee structures. Copy last year's structure into the new session, then edit what changed.
  2. Fares. Copy the transport fares and adjust the zones that moved.
  3. Students. Promote classes according to the ladder, and keep last session's records intact.
  4. Early admissions. Admit next session's children early so their records are ready on day one.

Dues: warn, do not block

A child with unpaid dues should be flagged when you move to the new session, but blocking the move punishes the rest of the class. Show the office who has dues, and let the principal decide child by child.

Check before you commit

  • Class strength in each section matches the ladder.
  • No child is missing from the new session or listed twice.
  • Fee structures and fares show the right amounts for the new year.
  • The previous session's reports still open as before.
