Agentic school management, explained without the hype.

Agentic school management is school software where AI assistants prepare routine work, such as a fee reminder or a concession, and then stop and ask a person to approve it. Here is what that means in practice, what it is not, and which parts Aurora has today.

What agentic school management means

"Agentic" describes software that does more than answer a question. An agent looks at the school's own records, works out the next step of a routine task and prepares it, for example a draft reminder to the 18 families whose October fees are unpaid.

In a school, the useful version has one extra rule: the assistant prepares, a person approves. Fee waivers, parent messages and admission replies affect real families, so nothing should leave the office or change a record until a principal, accountant or admissions head says yes.

Short version: a chatbot answers, an automation acts on a rule, an agentic assistant prepares multi-step work and hands it to you. A good one shows its reasons and leaves a record.

What a school office can hand to an assistant

The best candidates are tasks that are repetitive, based on records the school already keeps, and safe to review in a minute:

  • Fee follow-up. Find the families with dues, draft the reminder, and wait for approval before anything is sent.
  • Concessions. Line up the third-child waiver with the verified family tree and the amount, ready to approve with the reason attached.
  • Admission enquiries. Spot the enquiry that has waited two days and draft a reply from the admission note.

These are the kinds of work Aurora's assistants are designed for. They are labelled below by what exists today.

Three rules that make agentic software safe for a school

  1. Approval first. The assistant never sends to a parent or changes a record on its own. Your office approves each action.
  2. Reasons shown. Each suggestion says what it saw and why it is asking, so approving is a decision and not a guess.
  3. Everything audited. Who approved what, and when, is recorded against the record, so a question months later has an answer.

What Aurora has today, and what is next

Aurora is school management software first, and agentic second. We label every piece so a walkthrough never turns into a surprise.

The foundations matter. An assistant is only as trustworthy as the records it reads and the approval trail around it, which is why the ledger, the family tree and the audit trail come first. See the rooms that exist today.

Questions to ask any vendor who says "AI-powered"

  • Can it send or change anything without a person approving it?If yes, ask who is responsible when it is wrong.
  • Can I see why it suggested this?A suggestion without a reason is a guess.
  • Is there a record of every approval? You need it for the first parent who asks why a fee was waived.
  • Which records does it read, and where do they live?Ask whether your students' data sits in an environment kept for your school alone or in a database shared with other schools.
  • Which parts exist today, and which are planned?A good vendor answers per feature and does not blur the two.

Questions.

What is agentic school management?

It is school software with AI assistants that prepare routine work, such as fee reminders, concessions and admission replies, and then wait for a person to approve it. The assistant does the preparation. People keep the decisions.

Is agentic school management the same as a school chatbot?

No. A chatbot answers questions. An agentic assistant looks at the school's records, prepares a multi-step task and hands it to the office for approval, with the reason shown and a record kept.

Will AI make decisions about students or fees on its own?

Not in Aurora. Assistants are designed to prepare work and ask. Nothing reaches a parent or changes a record until your office approves it.

Does Aurora have AI assistants today?

Not yet. The Console core, approvals, the task feed and the audit trail are in use today. The assistants that build on them are the next release. We would rather tell you that than blur it.

Where is our school's data when an assistant reads it?

On Aurora's cloud servers, in an environment kept for your school alone. The assistants work on that school's records only.
