School ERP implementation checklist: before, during and after go-live

Most software problems after go-live come from preparation, not from the software. This checklist covers what to prepare, what to check while records are moved, and what to watch in the first month.

Before you start

  • Name one owner in the office who will answer questions during the move.
  • List the people who will use the system and what each needs to do.
  • Write down your fee structure: heads, amounts by class, due dates, concessions and transport fares.
  • Collect your class and section list for the current session.
  • Decide a go-live date that is not in the middle of the busiest fee week.

Prepare your records

  • One row per student, with admission number, class and section.
  • A guardian name and phone number for every student. Gaps found now are cheaper than gaps found later.
  • Sibling groups, confirmed by the office and not guessed from surnames.
  • Fee balances as of a fixed date, agreed between the accountant and the principal.

While records are moved

  • Move in batches, not all at once.
  • After each batch, compare totals with the old book: number of students, total billed, total collected, total outstanding.
  • Look at the rows that did not pass. Fix them or decide to leave them out on purpose.
  • Keep the old files, untouched, as an archive.

At go-live

  • Run a short practice with the clerk: find a student, collect, print a receipt, correct a mistake.
  • Check that the first day's receipts add up to the day's cash and bank totals.
  • Confirm who can see and do what, and remove access that is not needed.

In the first month

  • At month-end, compare the new system's dues report with your own count for one class.
  • Ask the principal whether the reports they get answer their questions.
  • Confirm that backups exist and ask how they are checked.

How long does a school ERP implementation take?

It depends on how clean your records are and how many fee structures you have. Any vendor who quotes a standard number of days without seeing your records is guessing.

Should we run the old and new systems in parallel?

Many schools do for the first few fee days, for comfort. It costs some double entry, so decide with the accountant.

What is the most common cause of trouble?

Missing or inconsistent basic data: guardian phone numbers, class names, and sibling links. Fix those before the move.
