How to choose school management software: a practical process

Choosing school software is easier when you stop comparing feature lists and start comparing how each option handles your own fee heads, your own siblings and your own month-end. This is a process you can follow in a week.

Start with the jobs, not the feature list

Write down the jobs your office does and who does them. For most schools they are the same: admit students, keep records and guardian details, collect fees, bill transport, report to the principal, and move to the next session. Mark the two that cost you the most time every month. Those decide the choice.

Shortlist three, and ask each the same questions

Three options are enough to compare and few enough to look at properly. Ask all three the same ten questions, and write the answers down. The answers that matter most are where your data lives, whether there is one ledger for fees, and which features exist today and which are only planned.

Make them show it with your data

A demo on a vendor's sample school proves little. Bring four real cases and ask to see each one done live:

  • a family with three children and a sibling concession
  • a child who rides the bus for four months, not twelve
  • a fee due list for one class, oldest dues first
  • the report your principal asks for at month-end

If a vendor cannot do these in the demo, ask whether it can do them at all.

Check where your data lives, and how you leave

Ask who else is in the database, who at the vendor can read your records, and what happens to your school if the vendor has an outage. Then ask the question people forget: how do we get our data out? You should be able to export your students, fees and receipts in a format you can open yourself.

Ask for it in writing

Ask for a written quote that lists each module and add-on, and a written list of which features exist today and which are planned. Vague answers in a meeting become expensive surprises after you sign.

Three. More than that and the comparison becomes noise; fewer and you have no sense of what is normal.

Should we pick the cheapest option?

Compare what each quote includes, not only the total. A cheaper quote that leaves out transport, reports or an add-on you need is not cheaper.

How long should evaluation take?

A week is enough if you decide the four cases in advance and ask every vendor to show them.
