The reports every school owner should read
A school can produce a hundred reports. An owner needs a handful that answer the questions that keep coming back: where the money stands, who is behind, and what the school looks like. These are the ones we would read first, and what to look for in each.
1. Fee due list
The question: who owes the school money, and for how long?
Read it oldest due first. The first rows are the families to speak to this week. Look at the total outstanding and at how much of it is overdue. In Aurora the fee due list shows both, and downloads as Excel, CSV or PDF.
2. Month-wise collection
The question: are we collecting what we bill, month after month?
Billed, collected and outstanding for each month of the session. A single weak month is a conversation; a pattern of weak months is a problem with due dates, reminders or the fee structure.
3. Head-wise collection
The question: what does each fee head actually earn?
Compare what each head billed with what it collected. A head that bills a lot and collects little often hides a policy or a reminder problem.
4. Concessions and discounts, by origin
The question: how much are we giving away, and why?
Goodwill given at the counter, RTE waivers and approved concessions are different numbers. A school that cannot separate them cannot explain any of them. Aurora splits this report by origin.
5. Class strength
The question: how many students do we have in each class and section?
Headcount by class and section, with boys and girls, students on the quota and students on transport. Use it for planning sections, teachers and buses.
6. Missing guardian contact
The question: which students can we not reach?
A gap list of students without a usable guardian phone number. It is the report nobody enjoys and everybody needs on the day something goes wrong.
7. Riders by route
The question: what does each bus route earn?
Headcount and monthly revenue per route. Compare it with what each route costs you to run before you add or drop one.
8. RTE foregone revenue
The question: how much tuition did we waive under the quota?
This is the figure a reimbursement claim needs. Keep it current through the year, not only at claim time.
